Role:Business Administrator

Location: work from home/BANGALORE

JOB DESCRIPTION:

  • Calendar Management and Meeting Logistics
    • Provides back-up support calendar management for partner-level manager. Supports calendar management for community spaces as needed. Helps to prepare meeting setting (e.g., booking rooms, troubleshooting virtual settings, ordering food).
  • Cross-Functional Collaboration and Communication
    • Collaborates internally with business partners (e.g., Business Management, Human Resources, Finance, Staffing, Real Estate & Facilities) while gaining knowledge from peers and managers. Takes direction and prioritizes multiple requests from admins, teammates, and managers.
  • Discipline Growth and Development
    • Participates in the Business Support community. Engages within the community and attends networking events, trainings, etc. Mentors and learns from others.
  • Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding)
    • Provides onboarding support for new employees, vendors, and interns, under the direction of senior team members (e.g., ordering new hire equipment, setting up workstations, distribution lists, security groups).
  • Event Coordination and Logistics
    • Support team experience activities as needed. Effectively plan and organize team events. Assists team with execution of event logistics (e.g., set up, tear down, catering arrangements) under the direction of senior colleagues. Supports team morale and building team dynamics.
  • Project Ownership
    • Provides onsite team support and carries out tasks under direction of others. Learns to take accountability for their components of assigned project outcomes.
  • Resource Management (Hardware/Supply Management, Purchase/Expense Management Financial Management)
    • Proactively manages supply inventories (e.g., storeroom, hardware, office supplies) as needed. Communicates discretionary budgeting and company finance policies. Follows guidance from senior colleagues and relates them to team members.
  • Space Management and Planning
    • Assists with team space move logistics as necessary.
  • Travel Management
    • Able to communicate travel policies to team members. Helps to schedule travel for employees traveling to, from and around India. Support partner-level and above travel itineraries, calendar, expenses, etc. Support end to end logistics and schedules for our external/internal executives including coordination with various levels of globally distributed teams. Manage schedules/calendars for the leader(s).

Education Required:

Required/Minimum Qualifications

  • High School Diploma, General Educational Development (GED), or equivalent AND 6 months Administrative, Business Support, and/or customer service experience.
  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings:
    • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

 

Additional or Preferred Qualifications

  • 1+ year(s) Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate’s Degree in relevant field (e.g., Business Administration, Human Resources, Marketing, Communications)
  • OR equivalent experience.
